Templates and manager review

Create sanitized reusable trip templates, approve or retire them, and manage revision-specific internal itinerary reviews.

Agency templates are sanitized reusable structures. Approve templates before reuse, create an independent private trip from each template, and submit the current trip revision for manager review. Later edits can make an approval stale.

Templates help an agency reuse a useful itinerary structure. Manager review records whether a specific revision is ready to move toward client delivery. They solve different problems and should be used together deliberately.

Create a reusable template

Open the agency workspace and choose Templates. Select the agency trip whose structure is worth reusing, then add a clear title, summary, destination tags, and specialty tags. Choose Create template draft when it is ready for review. You can also begin from the Create reusable template shortcut beneath an individual trip.

Platix creates a sanitized template draft rather than turning the source trip into a shared client record. Review the draft before approval. A template should preserve reusable planning structure without preserving the source client's identity, private notes, supplier references, booking details, or costs.

Good template candidates include a recurring destination pattern, a rail route the agency plans often, a standard family-trip rhythm, or a specialty itinerary with a repeatable review checklist.

Avoid making a template from a trip whose value depends mainly on one client's private requirements or nontransferable supplier arrangements.

Approve or retire a template

Approval changes a sanitized template from a private draft into an agency-wide reusable starting point. It records the approving team member and approval time. It does not publish or change the source trip.

A different owner, admin, or manager must approve the template when Prevent self-approval is enabled. The template creator will see the approval action disabled when another qualified approver is available.

When an agency has no other active owner, admin, or manager, an owner or admin can instead enter a reason and choose Approve with override. Platix records the actor, reason, time, template, and version in the private agency audit history. The override is never automatic and is unavailable as soon as another qualified approver is active.

Retire a template when its route, assumptions, supplier context, or operational guidance is no longer current. Retirement prevents future use without rewriting trips that were already created from it.

Review reusable templates periodically. A template can be structurally useful while still containing outdated pacing or destination assumptions.

Create a trip from a template

From Templates, choose an approved template, enter a new trip title and optional start date, and assign the responsible advisor. Select Use template and Platix creates a separate private agency trip.

The new trip is independent of the template and the source trip. Editing it does not alter either one. Add the current client's approved Trip Brief and requirements before treating the result as a client itinerary.

Submit a trip for manager review

When the working trip is ready, select a manager and choose Review. The review is tied to the submitted trip revision.

The assigned reviewer should check:

  • the approved Trip Brief and fixed client constraints;
  • route, dates, overnight bases, and transport feasibility;
  • daily pacing, meal timing, and accessibility;
  • factual and supplier details that require verification;
  • client-facing wording and media;
  • the separation of internal and client-safe fields.

Reviewers can add comments, request changes, or approve the revision. A manager resolving another manager's review may need to record an override reason.

Understand stale approval

Approval applies to one revision, not to every future state of the trip. If the itinerary changes after approval, Platix can mark the approval as stale.

Review the current revision again before publishing a proposal when changes affect dates, route, stops, transport, pricing, client-facing notes, or other material details. Minor edits should still be handled according to the agency's own review policy.

Keep review and client feedback separate

Manager comments belong to the private agency workflow. Client feedback belongs to a published proposal version.

Do not expose internal review notes by copying them into the proposal without rewriting them for the client. When client feedback changes the itinerary, update the private trip, complete any required internal review, and publish a revised proposal version.
