Booking handoff records and quote options help the agency track operational details without exposing everything to clients.
Booking handoff records
Use booking records for lodging, transport, activities, dining, insurance, and other operational items.
Record provider name, service date, external link, reservation reference, client instructions, internal notes, status, and visibility when useful.
In the agency workspace:
- Open Handoff and choose the agency trip.
- Keep Booking selected, then create one record for each reservation or operational item the team needs to track.
- Use the status to distinguish an idea, a temporary hold, a confirmed reservation, a cancellation, or a completed service.
- Keep the record Private while supplier details and traveler instructions are still being checked.
- Change it to Eligible for a proposal only after its client-facing fields are ready for review.
Selecting Eligible for a proposal does not send or publish the record. It only allows an advisor to select that record later while building a client-safe proposal.
Client visibility
Private items stay inside the agency workspace. Proposal-eligible items can be selected for a client proposal when the content is safe to show. Final itinerary delivery then inherits the reviewed client-safe projection from the published proposal.
Review every client-facing instruction before including it. Supplier notes, net costs, margin, and internal troubleshooting should remain private.
Quote options
Use quote options to describe package or service choices. Client gross price, currency, basis, summary, and validity date can support proposal review.
Supplier net, expected commission, and internal notes are operational fields and should not be exposed unless the agency deliberately rewrites them into client-safe text elsewhere.
Choose Quote in the Handoff tab to create or edit a quote. Keep supplier net, expected commission, and internal notes in the Agency only section. Set the quote to Eligible for a proposal only when the client gross amount and summary are ready to be considered for client delivery.
When the proposal is built, open Proposals and explicitly select the eligible booking records and quote options that belong in that proposal version. Unselected records remain inside the agency workspace.
Not the booking system of record
Platix helps present and coordinate itinerary work. Your agency and supplier systems remain authoritative for reservations, payments, terms, cancellations, and emergency support.
The live traveler itinerary is a client-safe delivery surface, not a replacement for supplier confirmation systems. Confirm critical travel details outside Platix before sending a final link, PDF, or calendar.
